March 20, 2009 Program determines which residents and fellows it will be hiring (new to UMMC), as well as which residents and fellows will be continuing at UMMC in their program (returning to UMMC)
March 27, 2009 New and Returning Resident Communication Process
  1. Program Liaison submits the information about these candidates and continuing residents and fellows on the  Resident/Fellow Data File  using these Instructions.

    The completed Resident/Fellow Data File is forwarded to the Compliance Coordinator of Graduate Medical Education electronically to Maureen Hyson mhyson@umm.edu and the Medical Staff Services Representative listed on Attachment E of the Instructions or found at http://www.umm.edu/gme/staff_contacts.htm

  2. Program Liaison  provides only the  "New" or "New Mercy" (Column V) residents and fellows listed with the Medical Staff Services http://www.umm.edu/medstaff/index.htm . New is defined as those residents/fellows who were not employed by UMMC during the prior academic period or who have a break in their credentialing period preceding this appointment period. New Mercy is defined as those residents/fellows who are enrolled in the Internal Medicine program, but who will be employed by Mercy. "New" and "New Mercy"  residents and fellows are required to complete the credentialing application, employee health assessment form, and other documents contained on the Medical Staff Services website. They must complete the forms and return them to Medical Staff Services, EXCEPT FOR THE EMPLOYEE HEALTH ASSESSMENT FORM- which the New resident or fellows should keep.

  3. Terminating and Graduating Resident Communication Process:

A separate payroll file will be provided to each department/program requesting they identify those Current residents and fellows who will be terminating or graduating from the program and the dates of the action. This file should be returned to the  Compliance Coordinator of Graduate Medical Education electronically to Maureen Hyson mhyson@umm.edu.

"New" and "New Mercy" Residents and Fellows without Internet Access

Program Liaison provides Medical Staff Services representative identified at http://www.umm.edu/medstaff/index.htm with  the name and address for any  resident or fellow who is listed as "New" or "New Mercy" in Column V of the Resident/Fellow Data File , but who does not have access to the internet and thus the Medical Staff Services website.  Medical Staff Services will mail applications to those identified residents and fellows.

New and "New Mercy"  Residents and Fellows Return of Medical Staff Documents

"New" residents and fellows  are required to complete the credentialing application, employee health assessment form, and other documents contained on the Medical Staff Services website. "New Mercy" residents and fellows are required to complete the credentialing applicaton, but not the employee health assessment form. Completed forms should be returned  to Medical Staff Services liaison identified at  http://www.umm.edu/medstaff/index.htm EXCEPT FOR THE EMPLOYEE HEALTH ASSESSMENT FORM- which the resident or fellows should keep and which the "New Mercy" are not expected to complete.

Medical Staff provides information to the programs about any delinquent credentialing applications and forms that have not yet been returned.

Returning Residents and Fellows

Returning Residents  are defined as any current UMMC resident/fellow who is remaining in the program or transferring to another UMMC program with less than two weeks break in  credentialing coverage.

Program Liaison submits the following information on its Returning residents and fellows (as per Column V):

The contract for each Returning resident and fellows should be attached to their licensing documentation and forwarded to:

Office of Graduate Medical Education
110 S. Paca Street, Room 08-N-121

The licensing  and contract information will be forwarded to the Medical Staff Services Office by the Graduate Medical Education Department for further processing. An executed copy of the contract will be returned to the Program Liaison and the Resident/Fellow.

New Residents and Fellows

Program Liaison submits the following information on its New residents and fellows (as per Column V):

The contract for each  New and New Mercy  resident and fellows should be attached to their licensing documentation and forwarded to:

The licensing documents will be forwarded to the Medical Staff Services Office by the Graduate Medical Education Department for further processing. The contract will be held before returning to make sure no further changes are made to the salary, the appointment timeframe, etc.  Once it is confirmed that no further changes will be occurring, an executed copy of the contract will be returned to the Program Liaison and the Resident/Fellow.

Feedback on Contract and Licensing Statuses

Graduate Medical Education will notify Program Liaison of any outstanding contracts, licensing paperwork, and any other data needs that are outstanding.

How to Correct Submission Errors or Changes Once the initial file from the program is submitted, any further corrections, revisions, deletions, should be sent as a separate record for the individual resident/fellow to the  Compliance Coordinator of Graduate Medical Education electronically, Maureen Hyson mhyson@umm.eduPlease do not retransmit the entire file, only the new or revised record, or the record that should now be deleted.

Benefits and Parking Application Requirements

Parking

Residents and fellows are designated to park at the Pratt Garage, which is opened 24 hours per day and 7 days a week. Please inform new and current residents that they need to complete and submit to you their application each June.  This application process is available online on the University of Maryland Baltimore Parking and Commuter Services website. Please use the instructions for accessing the website.

Please follow the instructions and go to the log-in prompt at the University of Maryland, Baltimore Parking and Commuter Services website. Approval of parking privileges for residents and fellows may be completed online or by visiting the Parking and Commuter Services office.

Residents and fellows who are leaving the program must surrender their parking pass and hang tags prior to departure to the Program Liaison.  Exit vouchers are available through the parking office at UMB to help with this transition.  Please contact the House Staff Billing or Web Support Contact to request Exit Vouchers.  Those passes that are not surrendered when the resident or fellow leaves the program will continue to be billed to the department.

Medical Center Resident and Fellow Benefits

To ensure residents and fellows receive full Medical Center benefits, appropriate paper work must be completed and returned to Department of Human Resources at 110 South Paca Street, First Floor,unless otherwise instructed (e.g., HIPAA Training which will be done through UPI).

Please review the Summary of Resident's Benefits. Please remind residents and fellows of the policy for Making Health Plan Changes Outside of Open Enrollment.

Residents requesting to take medical or Family Medical Leave must complete the Leave of Absence Packet. For those request Family Medical Leave, please review the Family Medical Leave Fact Sheet. Both forms require Medical Centerintranet access. In addition to completing the forms, residents must contact the Human Resources Department at the address/number below. In some cases, the resident and fellow may also be required to notify Hartford Life, the disability carrier for the Medical Center.
